The Online Registration Process

The registration process is conducted through the official PDPO online portal. Here are the main steps:

  1. Account Creation: Start by going to the PDPO website and selecting the “Register” option. You will be prompted to enter your organization’s official name, a valid email address, and a phone number. The system will then send your login credentials to both your email and phone.
  2. New Application: Once you have your login details, access your account and navigate to the “Company Registration” section on the left-hand menu. Click on “New Application” to begin the process.
  3. Filling Out the Form: The online portal provides an automated version of Form 3. You will be required to fill in several sections:
    • Organization Details: This section includes information such as the type of organization (e.g., controller or processor), country of incorporation, registration number, physical address, and the nature of your business.
    • Data Protection Officer (DPO) Details: You must provide the full name, contact information, and job title of your designated Data Protection Officer.
    • Data Sources and Categories: You will need to specify the sources from which you collect data (e.g., employees, clients, suppliers) and categorize the types of personal data you collect (e.g., financial information, health data).
    • Purpose and Retention: Clearly state the purposes for collecting personal data and the length of time you plan to retain it.
    • Data Disclosure and Transfer: Indicate if you transfer personal data to any third parties and if data is transferred outside of Uganda. If so, specify the destination country and the reason for the transfer.
    • Security Measures: Describe the technical and organizational security measures your organization has in place to protect the collected data, such as staff training and firewalls.
  4. Submission: Once all sections are completed, you will need to upload your signed and commissioned Form 3 along with the proof of payment. After reviewing the information, you can submit your application. You will receive a tracking number via email and SMS.

After Submission

After submitting your application, you can track its progress by logging back into your account. Once approved, the official certificate of registration can be downloaded directly from the portal, as the office no longer issues physical certificates. It’s important to remember that the registration is valid for one year and must be renewed annually through the same online portal.
